1. Agreement to Terms

By accessing and using Solo AI Coach ("the Service"), you agree to be bound by these Terms of Service. If you do not agree to these terms, you may not use the Service.

2. Description of Service

Solo AI Coach provides AI-powered analysis of coaching session transcripts using Neuro-Linguistic Programming (NLP) meta-model detection. The Service analyzes client conversations to identify limiting beliefs, emotional patterns, and suggest coaching interventions.

Two analysis modes:

  • Conversational NLP: text-based conversation analysis
  • Hypnotherapy (NLP): specialized analysis for hypnotherapy practitioners

3. User Responsibilities

You agree that:

  • You have lawful authority to upload each session, and your client has consented to AI analysis of that conversation — confirmed explicitly via the consent screen shown before every upload
  • Coaching conversations may contain sensitive personal data (e.g. mental health, personal details) — see Section 8, "Sensitive Data & Client Consent"
  • You understand this Service provides analysis for coach reflection only, not clinical diagnosis or treatment
  • You retain full responsibility for client outcomes and session decisions
  • You will not use the Service for unlawful purposes

Prohibited Uses

You will not use the Service, or any output it generates, for:

  • Clinical diagnosis, treatment planning, or any mental-health decision-making
  • Employment decisions (hiring, performance evaluation, termination) about any individual
  • School or educational placement/assessment decisions about any individual
  • Voice or video biometric analysis — the Service processes transcript text only, and you will not attempt to feed it, or infer from its outputs, biometric data about any individual
  • Uploading protected health information (PHI) subject to HIPAA — no Business Associate Agreement is in place with our subprocessors for this Service

4. Limitations of Service

  • Analysis is a tool for coach reflection, not a substitute for professional judgment
  • Findings are "hypotheses to explore," not diagnoses or clinical recommendations
  • We do not guarantee accuracy, completeness, or suitability for your practice
  • We are not liable for coaching decisions made based on our analysis

5. Subscription Tiers & Pricing

Free Tier: Conversational NLP

  • Price: Free
  • Features: Unlimited Conversational NLP analysis
  • Data Usage: De-identified findings used for product improvement and research
  • Cancellation: Cancel anytime

Free Tier: Hypnotherapy

  • Price: Free
  • Features: 20 hypnotherapy analyses (one-time trial)
  • Data Usage: De-identified findings used for product improvement and research
  • Trial limit: 20 total analyses; no monthly renewal
  • After trial: Upgrade to paid tier (Basic/Secure/Pro) or use free Conversational mode
  • Cancellation: Cancel anytime

Conversational Secure: $10/month

  • Price: $10/month
  • Features: Unlimited Conversational NLP analysis (coaches only, no hypnotherapy)
  • Data Usage: De-identified data NOT used (complete opt-out of research)
  • Note: For coaches who want privacy but don't need hypnotherapy mode. Hypnotherapy tiers (Basic/Secure/Pro) include both modes bundled.
  • Cancellation: Cancel anytime

Hypnotherapy Basic: $20/month

  • Price: $20/month
  • Features: 20 hypnotherapy analyses per month + Unlimited Conversational NLP (both modes included)
  • Monthly limit: 20 hypnotherapy analyses; resets monthly
  • Overage: Purchase $25 credit pack for 20 additional analyses (never expire, can be used anytime)
  • Data Usage: De-identified findings used for product improvement and research
  • Cancellation: Cancel anytime

Hypnotherapy Secure: $30/month

  • Price: $30/month
  • Features: 20 hypnotherapy analyses per month + Unlimited Conversational NLP (both modes included)
  • Monthly limit: 20 hypnotherapy analyses; resets monthly
  • Overage: Purchase $35 credit pack for 20 additional analyses (never expire, can be used anytime)
  • Data Usage: De-identified data NOT used (complete opt-out of research)
  • Cancellation: Cancel anytime

Hypnotherapy Pro: $80/month

  • Price: $80/month
  • Features: Unlimited hypnotherapy analyses per month + Unlimited Conversational NLP (both modes included)
  • Data Usage: De-identified data NOT used (complete opt-out of research)
  • Cancellation: Cancel anytime

Free Tier: Real-Time Trial (Phase 2)

  • Price: Free
  • Features: 2 hours of live analysis per month (both Conversational and Hypnotherapy modes)
  • Monthly limit: 2 hours; resets monthly, no rollover
  • Data Usage: De-identified findings used for product improvement and research
  • Availability: Coming in Phase 2

Real-Time Hour Packs (Phase 2)

  • 5-hour pack: $65 (~$13/hour)
  • 10-hour pack: $120 (~$12/hour)
  • Features: Live analysis (both Conversational and Hypnotherapy modes)
  • Expiration: Hours never expire
  • Billing: One-time charge per pack; no subscription, no auto-renewal — you purchase another pack manually whenever you need more hours
  • Data Usage: De-identified data NOT used (complete opt-out of research)
  • Availability: Coming in Phase 2

6. Payment Terms

  • Payment is processed monthly via Stripe
  • Charges occur on the same day each month as subscription start date
  • You are responsible for keeping payment information current
  • Failed payments may result in service suspension
  • Refunds are not available for partial-month usage

7. Cancellation & Refunds

  • Cancel anytime via your account settings
  • Cancellation takes effect at end of current billing cycle
  • No refunds for unused analyses or partial months
  • Overage credits are non-refundable

8. Data Usage, Retention & Deletion

Data Storage

  • Raw transcripts: Ephemeral — stored only while you're actively working in a session, then permanently deleted the moment you leave it (Save and Close, navigating away, or deleting the session). Not retained on any fixed schedule.
  • Analysis findings: Stored indefinitely while your account exists, including short evidence quotes drawn from the transcript to support each finding.
  • Session metadata: Stored indefinitely (date, analysis mode used, tier used, etc.)

Data Usage Based on Tier

Free and Basic Tiers (Free Conversational, Free Hypnotherapy, Hypnotherapy Basic, Real-Time Trial):

  • Your analysis findings may be used for future product improvement and research:
    • Improving our analysis algorithms and accuracy
    • Identifying common coaching patterns and limiting beliefs
    • Creating research insights and industry reports
    • Developing online courses and educational content
    • Note: This research pipeline is planned but not yet active
    • Your data is flagged for potential future research use

Secure and Pro Tiers (Conversational Secure, Hypnotherapy Secure, Hypnotherapy Pro, Real-Time Hour Packs):

  • Your analysis findings are explicitly opted out of any research or product improvement
  • Data retained in your account history only
  • Tier choice is the only mechanism to control research eligibility

De-Identification (Pseudonymization) Process (Future Implementation)

When data is archived for research purposes (planned for future), we will:

  • Remove coach and client identifying information (names, IDs, session titles)
  • Note: De-identification does not currently edit free-text fields:
    • Coach notes may still contain identifying details
    • Evidence quotes from the transcript may contain client names or details mentioned in the conversation
  • Your session analysis metadata will be retained for research
  • Data will be de-identified to the extent above before research use — this is pseudonymization, not anonymization in the strict GDPR sense, and is not a guarantee against re-identification

Sensitive Data & Client Consent

Coaching conversations may contain sensitive personal data, including special-category data under GDPR Article 9 (e.g. mental health, medical, or other sensitive personal details). By uploading a session, you confirm you have the client's consent to AI analysis of that conversation and that you have lawful authority to upload it — this is captured explicitly via the consent screen shown before every upload. This tool is for coaching reflection only, not clinical diagnosis or treatment.

Your Deletion Rights

You can:

  • Delete any individual session yourself, anytime, from that session's page — no request needed
  • Request deletion of your entire account, or export of your data, by emailing legal@soloaicoach.com or privacy@soloaicoach.com
  • See aggregate research findings we publish

When you delete a session:

  • It's immediately removed from your account
  • 30 days later, analysis findings are archived (only if your tier permits research use) and the session is permanently removed
  • De-identified data (if applicable based on your tier) may be retained for product improvement (planned future feature) — never the raw transcript, which is already gone

Account Termination

Upon account termination:

  • All analysis data is deleted within 30 days
  • De-identified archived data (if applicable) is retained for research purposes

10. Limitation of Liability

To the fullest extent permitted by law:

  • We are not liable for any indirect, incidental, special, or consequential damages
  • Our total liability shall not exceed the amount you paid in the last 12 months
  • We are not liable for coaching outcomes, client decisions, or third-party actions

11. Indemnification

You agree to indemnify and hold harmless Solo AI Coach from any claims arising from:

  • Your use of the Service
  • Your violation of these terms
  • Your coaching practices or client relationships
  • Any content you upload to the Service

12. Modifications to Service

We reserve the right to:

  • Modify or discontinue features
  • Change pricing with 30 days notice
  • Update these terms (changes effective upon posting)

Continued use after changes constitutes acceptance.

13. Termination

We may terminate your account if:

  • You violate these terms
  • You fail to pay subscription fees
  • We discontinue the Service

Upon termination:

  • Your access ends immediately
  • Account and session data is retained for 90 days, then deleted (raw transcripts are not part of this — they're already gone by the time any session was last worked on, per Section 8)
  • De-identified data remains for research use, per your tier's usage policy

14. Governing Law

These terms are governed by the laws of the State of New York, USA, without regard to conflict of law principles.
